Board Meeting, March 15, 2010

I.         CALL TO ORDER/SALUTE TO FLAG

            Board President, George Fencik, called the meeting to order at 7:04 PM.                                                                                                                                                                                                                                                                                                                                                                                                                                                                  

 

II.        ROLL CALL

Present: George Fencik, President; Art Pantaleone, Vice-President; Glenn Anderson, Treasurer; Ray Patnaude, Director; Cindy Pierce, Community Manager

Absent:   Diane Ewing, Secretary

 

III.       APPROVAL OF FEBRUARY 15, 2010 MINUTES

Ray Patnaude made a motion to approve the February 15, 2010 minutes. Glenn Anderson

seconded the motion.

IV.       TREASURERS REPORT – February 2010

 

             Glenn began by announcing that there will be no special assessments. Glenn also stated

             that the budget is $20,000 under in reserves from what the Association’s engineers

             wanted.

V.           COMMUNITY MANAGERS REPORT-February 2010

               Cindy reported that due to a number of mailboxes in the community being damaged by

               the winters snowplowing operations, a list has been produced, and letters have been

               mailed out to the affected homeowners asking what color new mailbox they would

               prefer. (It was decided on by the Board of Trustees and Images Landscaping that new

               mailboxes would be purchased and installed). Cindy requested that these homeowners

               contact the office by the end of the week to let her know their color preference as the

               mailboxes will take about two weeks to be delivered. If a homeowner does not wish to

               have this particular mailbox installed they can purchase their own, and Images will

               install it, but the cost will not be covered.       

               Cindy also stated that the broken treadmill in the fitness room is waiting on a part.

               Fitness Lifestyles has been out to the clubhouse regarding the broken treadmill.

               Cindy announced that the irrigation spring start-up dates are: April 14th, 15th, 16th, 19th

               and 20th.

               Lastly, there are a number of trees and branches that have fallen throughout the

               community due to recent storm damage. A contractor that the Association has hired,

               By Design Landscaping, will go through the entire community and address all

               landscaping issues, including any damage to shrubbery.    

              

 

VI.          BOARD LIAISON REPORTS

              *Grounds, Art Pantaleone

Art stated that this is the last “winter” meeting for 2009-2010. Art also stated that he had two motions to pass. There was a meeting with Art, Tom from Images, and Joe from FBI. The motion is in two parts: it refers to the spring clean up and the winter clean up. The date of the estimate from By Design Landscaping to clean up the entire community due to winter storm damage is March 10, 2010. The amount of the proposal is $3950.00.   

Art Pantaleone made a motion to approve the storm damage clean up proposal. Ray Patnaude seconded the motion.

  Art announced that the spring clean up will take place the last week of March, weather

  Permitting.

  Irrigation spring start up will take place the middle of April, weather permitting.

  Art also reported that the irrigation contractor, FBI, would like to install “mock rocks”

  over the tops of the well “pipes” that are sticking out. Also, they need to install a

  backflow preventer on the irrigation system at the clubhouse. These “requests” were

  approved by the Board.

  Art also commented that some homeowners had reported “census takers” knocking on

  their doors. These people are not “census takers.” Do not let anyone in your home that

  you do not know.  

*ARC, Art Pantaleone

  Art announced that there was one (1) ARC applications for March, and one (1)

  Application was approved.   

  

   

*Glenn Anderson

   Glenn reported that he has been asked by several homeowners about the Association’s

   insurance coverage/policies. Glenn explained that since the Association does not have

   any employees, there is no need for Workers Comp insurance. Although, contractors

   who do work for the Association need to have their employees covered with Workers 

   Comp, in case the workers get hurt. Glenn further stated that the Association has plenty

   of insurance coverage. Glenn also stressed that if homeowners have any contractors

   doing work on their individual homes, they need to ask for the contractors workers

   comp insurance coverage. 

 

               *Social/Clubhouse, Diane Ewing

    In Diane Ewing’s absence, George Fencik gave the social/clubhouse report. The next

    Pizza Party will be held on Friday, March 26th. The Memorial Day Pool Party is being

    hosted this year by residents of “Cedar Village Boulevard” Sue Coleman and Judy

    Easter are the hosts.

    The  Ladies Spring Luncheon will be held at the Manasquan River Golf Club. 

   

   *Caregivers Volunteers of Central Jersey, George Fencik

    George announced that Dominick Rappoccio asked if the Board would be willing to

    have a representative from Caregivers Volunteers of Central Jersey attend the next

    general community meeting. The Board will have them attend the April meeting.

    Caregivers Volunteers of Central Jersey assist seniors who are homebound and cannot

    drive anymore.

              

    *Pool, Ray Patnaude

                 Nothing new to report.

                              

                 *Neighborhood Watch, Ray Patnaude

                 Ray stated that if anyone is interested in volunteering for Neighborhood Watch they

                 should let him know. Ken Eustace is also still looking for help with the trash removal/

                 recycling at the clubhouse.

 

   VII.      BOARD MEMBER COMMENTS

                Glenn announced that Bocce sign-ups will take place on April 24th, 2010 at 10:00AM

                in the clubhouse. The cost is $24.00 per team. Additional players are always needed.

                The Bocce season begins on May 18th, 2010 and ends on August 17th, 2010, for a total

                of 14 weeks. The Bocce playoffs will take place on August 24th, 2010, if necessary.

                The Bocce Luncheon is scheduled for August 31st, 2010 at 1:00PM in the clubhouse.

 

   VIII.    NEXT BOARD MEETING

   George Fencik announced that the next Board meeting (Annual Meeting and Board

   Elections) will take place on Monday, April 12, 2010 at 7:00PM.

  

   IX.       MOTION TO ADJOURN

   Glenn Anderson made a motion to adjourn the meeting - seconded by Art Pantaleone.

   Motion carried.
